Role Description This is an on-site, full-time role for a Director of Catering. The Director of Catering will oversee promotion, sales, and coordination of all member-related and private Catering events to ensure the total satisfaction of our members/clients. The Director coordinates and organizes events by choosing the appropriate facility based on the event’s size and need, stays within budgetary constraints, directs the administrative and operational aspects of the events, and oversees staff. The Director assists members/clients by offering suggestions with regard to set-up, menus, décor, and all aspects pertaining to their event. The Director works with banquets and other departments to assure that the members and guests expectations are exceeded. Key Responsibilities Promotes, advertises and markets the club’s social event facilities and capabilities to all members. Controls the booking of all meeting space on property. Coordinates and oversees member/client functions to ensure member satisfaction. Helps members/clients arrange banquets, luncheons, meetings, weddings, dances and other social events; obtains pertinent information needed for guest planning. Monitors all contractual agreements pertaining to meeting space, food and beverage and special offerings. Effectively communicates the information necessary to all departments to successfully execute the member/client’s need while maintaining a good member/client relationship. Prepares correspondence to members/clients, internal booking reports and file maintenance. Participates in business review meeting, pre-event meetings, training and other catering sales related meetings as required. Develops/maintains knowledge of market trends, competition and customers. Prepares or delegates the preparation of function sheets and catering correspondence. Consults with involved team members regarding the preparation of special menus and special services required. Arranges the necessary details for banquets, meetings and other special parties. Sets and negotiates terms pertaining to the sale of the club’s catering services with the guidance of the Director of Catering. Provides guest tours and offers suggestions in efforts to sell the club’s facilities for the occasion being planned. Inspects finished arrangements; may be present to oversee the actual greeting and serving of guests. Handles client complaints. Maintains past and potential client files; schedules calls/visits to assess on-going needs of prospective clients for catering services. Arranges prompt payment for all events. Critiques functions to determine future needs and to implement necessary changes for increased quality. Skills & Competencies Prior Catering Sales experience with a track record of accomplishments is required. Position continually requires demonstrated poise, tact, and diplomacy. Excellent communication, presentation and negotiation skills, and the ability to think strategically. Strong organizational skills and attention to detail, especially in coordinating multiple moving parts. Must perform job functions with attention to detail, speed, accuracy and resolving problems using good judgment. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. Well-groomed, professional appearance. Qualifications College degree and/or minimum of three years experience as a Catering Sales Manager or Event Operations Manager in a 5 Star Resort, Hotel or Country Club. Minimum of 3 years of catering, restaurant or banquet management experience that includes managing the day-to-day operation, leading, directing, training and motivating FOH staff, identifying member needs and responding proactively, and delivering an excellent member/guest experience. Excellent verbal and written communications, networking, and presentation skills. Excellent organizational skills and attention to details. Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines.
